Verified is incomplete without a method, a date and a definition. Different services use different labels and checks. A record that passed a mailbox-oriented check can still be outdated, irrelevant to your offer or unsuitable under your organization’s outreach policy.
Mailbox validation, audience accuracy, permission and inbox placement are separate questions.

Ask what was checked
Request the verification service or process, the date, the exact status values and how the provider interprets them. Establish whether checks apply to every address, only primary emails or a subset of the file.
Do not infer a verified personal role from a valid address. An operational office inbox may pass technical checks without identifying a named agent or broker. Technical verification does not establish marketing consent.
Understand uncertain outcomes
Catch-all, unknown, risky and similar labels should be explained using the checking service’s own definitions. A server may accept mail without confirming a specific recipient, or a check may be inconclusive. Those outcomes should not silently become valid.
Agree whether uncertain records are excluded, supplied in a separate segment or included with a visible status. Avoid combining all statuses into a single claimed deliverability percentage.
Connect the check to a date
A result is a dated observation. A person can change companies, an address can be disabled and a domain can change after the check. Ask whether the timestamp belongs to that specific address or merely to the dataset edition.
Define a review interval that fits your usage and check your sending platform’s requirements. Preserve prior statuses so later changes can be understood instead of overwriting all history.
Keep the outcome measures separate
A passed check does not promise delivery, inbox placement, opens, replies or sales. Sending practices, recipient behavior and the relevance of your message affect later outcomes. Define a remedy for demonstrably invalid records rather than a guarantee of business results.
Before buying, ask for status counts, exclusions and the evidence required for a replacement or credit. Before sending, apply your existing suppression records and approved outreach process independently of the vendor’s verification label.
- Quality question: is the recorded address technically plausible now?
- Fit question: does this person match the intended audience?
- Outcome question: what happened after an approved message was sent?
Ask what was checked and when.
List the statuses your team can use and the evidence needed to interpret them. Separate a recorded address from a dated validation result.
