A long column list does not mean every row contains every value. Useful field selection starts with the decisions your team needs to make: identify a person, confirm audience fit, place them in a market and maintain the record after import.
A field name, its meaning, its population rate and its source are all part of the specification.
For a national starting point, explore our USA real estate email list and choose the audience and market for your brief.
Start with a minimum usable record
Identify the person or business, their role, the contact route and the location basis needed for your campaign. A named-professional project may require a name, company, email, role and state. A business-location project can have a different minimum.
Ask for a field dictionary that explains these columns and the meaning of blanks. Do not require extra details merely because a competitor advertises them.
Choose context that changes your selection
Brokerage, company website, title and specialty can help distinguish suitable contacts. License details, service areas, portfolio information or production data may be useful only when available from an appropriate source and relevant to your business decision.
Keep optional fields separate. A record with a valid email but no production figure may still fit one campaign and fail another. The required intersection should be counted rather than inferred from separate totals.
Include evidence and maintenance fields
A source description or URL, collection date, verification date and status can make later review possible. A stable record ID helps compare editions, but its meaning and persistence must be explained.
Different dates describe different events. A dataset export date is not necessarily the date each employer, role or email was checked. Request names that make those distinctions clear.
Review the actual schema
Open a sample in the same format your team will use. Check whether company and person names are separate, whether multi-value fields have documented separators and whether ZIP codes retain leading zeros.
Approve the final columns and definitions before purchase. Ask for population rates within your selected segment, because nationwide completeness can conceal weaker coverage in a particular state or role.
- Identity: who or what the row represents.
- Fit: role, company and requested specialty.
- Reach: contact fields and their status.
- Market: geography and assignment basis.
- Maintenance: IDs, sources and relevant dates.
Choose the fields your workflow needs.
Separate required columns from optional context. Record the meaning of location, contact type and relevant dates before agreeing a file.
