Data Freshness and Update Policies: What to Ask

Separate an edition date from record-level checks and define what an update actually changes.

Updated this year can mean a recent export, a new source collection or a full recheck of individual fields. These are not equivalent. Understand the events behind the dates before using freshness as a reason to choose one contact product over another.

QUICK ANSWER

A recent file date does not prove that every role, company and email was recently checked.

For a national starting point, explore our USA real estate email list and choose the audience and market for your brief.

Separate the different dates

Ask for source-observation, email-check, role-review and export dates where available. Determine whether each timestamp applies to a row, a field or the entire edition. A file can be exported today from older observations.

Unknown dates should remain unknown. If freshness matters to a particular field, define the acceptable evidence for that field rather than accepting a general updated label.

Ask what triggers a refresh

A provider may collect sources on a schedule, recheck before delivery or update only selected records. Ask whether changed companies, removed source profiles, invalid emails and new professionals are handled in the same process.

Review how removals and uncertain records are represented. A refresh that only appends new rows may leave older records in place without making their status clear.

Read the entitlement separately

Owning a downloaded file, being able to download it again and receiving a refreshed edition are different entitlements. Ask which updates are included, for how long and whether you must request them.

Confirm how an update is delivered: a replacement file, changed rows only or platform access. Request stable IDs and change indicators if your team needs to merge updates into an existing CRM.

Plan your own maintenance

Keep a dated copy of the purchased edition and its definitions. Before reuse, reapply suppression records, review role changes and follow your organization’s accepted verification process. Avoid treating a perpetual file license as perpetual accuracy.

When comparing vendors, write the actual policy in a worksheet: events checked, timing, included period, delivery format and remedy for stale records. If an important point remains undocumented, treat it as unresolved rather than filling it with an assumption.

  • What was checked?
  • When was it checked?
  • What changes in a refresh?
  • What update rights are included?
  • How are prior exclusions preserved?

Ask for the dates that matter.

Put observation date, email-check date and purchased-update terms in your brief. An export date alone cannot answer all three questions.
