How to Calculate Usable Real Estate Email Contacts

Move from a headline database total to the email contacts that match your audience, location and file requirements.

A headline database total may count people before country filters, role selection, email availability and duplicates are considered. The practical buying question is narrower: how many distinct records meet your written audience and contact requirements?

QUICK ANSWER

Use the contacts remaining after your audience, email-check and duplicate rules are applied. Email and phone totals can overlap, so adding them together will not give you a usable contact count.

For a national starting point, explore our USA real estate email list and choose the audience and market for your brief.

1. Define what one contact means

Identify whether the provider counts rows, unique people, unique emails, licenses, businesses or locations. A person with two licenses and two addresses can generate several rows without representing several potential customers.

Also distinguish a visible contact profile from a revealed, populated or exportable email. The number shown in a prospecting interface may describe search matches rather than the final export you can actually use.

2. Count after each selection step

Record the count after country selection, then role rules, geography, required fields, verification exclusions and deduplication. Keep a dated definition of every step so the same quote can be reproduced.

The order may affect intermediate totals when attributes overlap, but the final audience should satisfy all accepted rules. Preserve rejected-record counts by reason without exposing unnecessary personal details.

  • United States scope confirmed.
  • Target roles matched with unknowns treated explicitly.
  • Required email field populated and exportable.
  • Agreed uncertain or invalid statuses handled.
  • Duplicates and your existing suppression list removed.

Worked example: 1,000 rows to 650 usable contacts

Illustrative numbers only, not our inventory. Each step below filters the rows remaining from the previous step.

Sequential example — do not add these totals together
Selection stepRows remaining
Starting file1,000
Target country and role match850
Required email field populated720
Agreed email-check criteria met690
Duplicates and exclusions removed650

The quoted quantity in this example is 650 qualifying contacts. Passing these rules does not guarantee email delivery or campaign results.

3. Separate email and phone coverage

A file with an email population and a phone population does not necessarily contain both fields on every person. Ask for the number with the combination you require. The same applies to email plus a named role, company website or license evidence.

For example, if a fictional file has 1,000 people, 700 emails and 600 phones, the number with both cannot be established from those totals alone. It must be counted from the records.

4. Confirm the quantity in your quote

Request a summary showing raw rows, unique people, unique emails and qualifying rows under your rules. Label the count date and whether the quoted product is fixed or changes at export.

Use that qualifying total for cost comparisons. Keep a separate post-import count if your CRM finds additional duplicates or exclusions, and investigate the difference before expanding to another market.

Put the right number in your brief.

Specify email-bearing rows and distinct addresses separately. State which unit your team will use when comparing quotes.
