A Practical Audit for a Real Estate Industry Database

Turn a broad industry total into a documented, reviewable US audience.

An industry search can include agents, managers, title professionals, developers and support roles across several countries. A broad match count does not establish the size of a particular email-list product. Audit the intended segment before making a public claim or purchase decision.

QUICK ANSWER

A reviewable product has a definition, a dated count, a sample and documented limitations.

Freeze the scope and definitions

Record the search date, country filter, role rules, record type and mandatory fields. Clarify whether the total counts search matches, revealed emails or exportable rows. Save the definition before additional enrichment changes the population.

Name separate segments for agents, broker leadership and property managers. Keep unrelated occupations and uncertain classifications outside the confirmed segment totals.

Inspect the counts and overlaps

Count raw rows, unique people, unique emails and companies separately. Measure required-field combinations from the records. Keep cross-state and cross-role overlaps visible rather than adding segment totals and assuming the result is unique.

Check whether inactive, ambiguous or shared-office records are included. A stated exclusion policy is useful only if it is applied consistently to the counted export.

Review a matched sample and process evidence

Sample across roles, locations and companies instead of inspecting only the most complete rows. Compare source evidence, current role, email type and relevant dates. Separate formatting issues from unsupported classifications or stale facts.

Ask how verification, deduplication, corrections and suppression are handled. Record limitations that could materially affect the intended use, including missing service-area evidence or unresolved role mapping.

Publish only what the audit supports

If the audit establishes US profiles but not populated emails, describe profiles. If it confirms a mixed-role industry audience, do not call that an agent-only list. Attach the count date and definition to any inventory statement.

Maintain an audit summary with the accepted scope, matching count, field completeness, sampling method, open questions and next review date. That summary makes future editions and provider comparisons more consistent.

  • Defined population and inclusion rules.
  • Unique counts and field intersections.
  • Matched sample and evidence review.
  • Written limitations and review date.

Turn the audit into a clear requirement.

Record the audience, geography, missing-field tolerance and counting rule you will use to assess a proposed file.
